Booked Package & Transfers
Travel Packages allows you to add, modify or delete transfers, pre-cruise / post-cruise hotel packages.
On the BOOKED PACKAGES & TRANFERS screen you will find the packages you have sold with the Cruise or Cruisetour. Passengers holding those packages will have a check mark under their applicable passenger number. The passenger number is assigned by POLAR and can be referenced on the passenger list at the top of the screen.
To cancel a package for a specific passenger, click the check box to remove the check mark and click SUBMIT. To cancel a package for all passengers indicated on a line, click the orange cancel button at the end of the line (X).
Note: Cancellation fees may apply to hotel packages after the final payment date. Also, do not remove pre- or post-cruise transfers at or within 14 days of sailing.
To modify the Room Occupancy for the added hotel package, click the link with the arrow located in the Room Occupancy column. A matrix will open allowing you to choose alternate room occupancy for the hotel stay. This will determine the type of pricing to apply for the number/type of rooms you want. This does not determine who is rooming with whom and the rates may change based on the new configuration.
Note: The Room Occupancy matrix is not applicable to Cruisetour Lodges. Contact Cruisetour reservations to request changes.
Waitlist Matched: When a waitlisted hotel package becomes available, it is marked with the word “Matched" in the description column on the Booked Packages and Transfers screen. The waitlist matching process is completely automated.
1. When a hotel package becomes available, the system automatically matches it to the next booking on the list waitlisted for that category.
2. A fax is sent out advising of the match and giving the expiration date.
3. You then have two days to accept the match and make any necessary payments.
4. The day the fax is sent, even if it's late in the day (e.g., 5:00 PM on the West Coast and 8:00 PM on the East Coast) counts as the first day.
5. If no action is taken on the match by the end of the second business day, all waitlist requests will be canceled.

| PAX 1, 2, 3, 4: | Passengers on the booking will have a check in the box under their passenger number. To add or remove a check mark, click a check box. To cancel a transfer or hotel package or an added tour, uncheck the check box under the applicable passenger number, leaving the check box blank OR click the cancel button at the end of the line if cancelling all passengers. |

To accept changes; click the SUBMIT button.
HINT: When upgrading to a Transfer selection from the Package List, cancel the original transfer FIRST.
HINT: If multiple hotels are accidentally selected and now exist on the booking (i.e.: 2 nights at one hotel and 1 night at a different hotel before the cruise), cancel the hotel packages from the top down for pre-cruise or bottom up for post-cruise to remove the packages ... the system will not allow the cancellation of a hotel in the middle of a date range; it would leave a hole in the complete package.
To see a list of Travel Packages, click the PACKAGE LIST button. To see the individual package price breakdown per passenger (taxes not included), click the VIEW PACKAGE PRICE button. To return to the booked Package and Transfer schedule, click VIEW SCHEDULE button.
Transfer Policy Change
Transfers are now allowed to be added regardless if the client has or has not taken cruise line air. You can still purchase transfers if your clients have independent air, but now you must supply the air schedule before you can print out the client's boarding pass.
Transfers may be added to any booking with or without an air schedule. The schedule may be cruise line air, independent air or the indicator on the independent air screen showing the passengers are using the airport as the transfer pick-up point.

The following transfer rates are USD and are subject to change. These rates should only be used to estimate the cost of one-way transfers per passenger:
