Bookings are cross-referenced in this system based on a three-digit code (Travel With ID) appearing on each booking on the same voyage. There are two ways to cross-reference bookings in POLAR.
The easiest way is to choose cabins and cross-reference them during the booking process by making the bookings sequentially. This enables you to choose appropriate cabins at the same time.
It is also possible to cross-reference bookings after they have been completed.
Don't forget to match the dining request so that the passengers are able to dine together.
Cabin Details
This screen gives a list of the best cabins available in the requested category. If there are no cabins listed on this screen, type "GUAR" to book a guarantee. If there are no cabins listed and the field shows "WAIT" then the category is unavailable. You can add your clients to the waitlist by continuing with the booking, or click the "BACK" button to select another category.
Guranatee Cabins Defined
When you make a booking as a Guarantee, the cabin number will show as either be a blank space or will display as 'Guarantee' or 'GUAR'. Guarantee bookings will be berthed at a later date, at our discretion.
These bookings will be allocated a cabin in either the grade originally booked or a higher priced category. Please note, the higher priced cabin may be on a lower deck or in a different location on the deck (forward, mid ship or aft). While we endeavour to berth our passengers as early as possible, some 'Guarantee' cabins may require berthing on the day of departure.
Important Note: For any booking made as 'Guarantee', you MUST NOT select the 'Decline Auto Upgrade box' as we require the system to allocate a cabin prior to sailing, which can only be done if the check box is empty. Further more, if the client would prefer to know what cabin they are going to travel in, it is not recommended that you book a 'Guarantee' option. Instead, we suggest you book a category where the cabin number is assigned at time of booking. In this situation, please also ensure you select the 'Decline Auto Upgrade' box to decline all possible automatic upgrades.
Available Cabins
- Click the "DETAILS" button next to the desired cabin for additional information about the cabin, including location, square footage, bed configuration, and cabin notes.
- The best cabin available is automatically filled in the left field.
- To select a different cabin, type the cabin number in the cabin field at the bottom of the screen.
- Wheelchair cabins should be booked by calling P&O Cruises Australia.
Closest Available Cabin
Enter in the cabin number (example: A530) in the field then click the "Sort List" button to change the list above to show the closest available cabins to the one entered in the field. Polar Online will filter the six best available cabins that are located on the same deck, on the same side of the ship (port or starboard), and in the same or an adjacent fire zone as the specified cabin.
When using the "Clone" process, The Closest Available Cabin field will auto-populate on the second booking if multiple cabins have not already been selected.
Proceed to Create Booking button
Click on the "PROCEED TO CREATE BOOKING" button. You may select up to three cabins.
Back button
Click the "BACK" button to go back one screen.
Reset Form button
Click on the "RESET FORM" button to clear any selections you have made on this screen.
Cross-Referencing in Availability
There are three basic steps to cross-referencing bookings by making them sequentially.
- Choose more than one cabin
On the Cabin Selection screen the system allows you to choose up to three cabins using the three fields located towards the bottom of the screen. Each field also features a "CHANGE CATEGORY" button to facilitate choosing cabins from different categories. This is useful if you would like to book a balcony cabin across the hall from an inside. By choosing the cabins now, they will be set aside for you while you complete the bookings. If you do not choose all of the cabins now, clicking the Clone booking button later will take you to the Cabin Selection screen.
- Add a Cross-Reference Code
On the Create Booking screen of the first booking, fill in the passenger information and click on the "CREATE TRAVEL WITH ID" box in the Booking Information section. If your clients would like to keep their cabins close together, we also recommend clicking on the "AUTO UPGRADE DECLINE" box to prevent the bookings from being upgraded to cabins that are no longer near each other.
- Clone Booking
On the Booking Confirmation screen of the first booking, note the booking number, and immediately click the "Clone Booking" link in the upper right corner of the screen. This will take you to the second booking.
- Complete the Second Booking
On the Create Booking screen for the second booking, the next cabin that you already selected will be assigned. Fill in the passenger information and click the "CONFIRM BOOKING" button. It is important not to click on the "CREATE TRAVEL WITH ID" box on the second booking. Clicking on the box will create a new Travel With ID, and the bookings will not be cross-referenced. The system will automatically add the Travel With ID from the first booking if you have correctly followed all of the steps.
Cross-Referencing Existing Bookings
When cross-referencing existing bookings, it is important to make sure that the same three-digit code is on all of the bookings. In order to be cross-referenced online, the bookings must be made through the same agency and must be on the same voyage.
- Create a Code
-Retrieve one of the bookings that you would like to cross-reference.
-Click the "BOOKING INFORMATION"link.
-In the Booking Information section, click the "CREATE TRAVEL WITH ID" button. It is important to let the system determine the next available three-letter code in order to avoid accidentally cross-referencing your booking with other bookings that have already been made.
-Write down the three-letter code that has been assigned.
- Add the Code to the Other Booking
-Retrieve one of the other bookings.
-Click the "BOOKING INFORMATION" link.
-In the Booking Information section, type the three-digit code in the "Travel With ID" field.
-Click the "SUBMIT CHANGES" button.
- Add the Code to the Other Booking
-On the Booking Information screen click the "TRAVEL WITH BOOKING LIST" link to see a list of all of the cross-referenced bookings.
